About the Company We are a highly regarded, Mid-Size accounting firm located in the heart of the Brisbane CBD. Our team delivers premium compliance, tax planning, and strategic advisory services to a diverse portfolio of small-to-medium enterprises (SMEs), high-net-worth individuals, and family groups.
We are currently seeking an exceptional Client Services Coordinator to lead our administrative engine room. Operating fully from our vibrant CBD office, this is a pivotal role where you will be the face of the firm for our clients and the operational backbone for our team of accountants and partners.
The RoleIn this dynamic and highly organized in-office role, you will manage the end-to-end administration of the client lifecycle and keep our workflow pipeline moving efficiently. You will bridge the gap between our clients, our accounting team, and key regulatory bodies.
Key responsibilities include:
- Workflow & Pipeline Management: Monitoring jobs from start to finish, tracking tax return progress, and ensuring the accounting team meets critical ATO lodging deadlines.
- ATO & ASIC Liaison: Managing corporate secretarial duties via the ASIC portal (annual reviews, company setups, director changes) and acting as the primary contact for ATO correspondence, including managing client accounts, deferrals, and payment arrangements.
- Client Onboarding & Engagement: Coordinating the seamless onboarding of new clients, conducting AML/KYC checks, issuing engagement letters, and handling daily client enquiries with a premium level of service.
- Finalisation & Billing: Collating, formatting, and sending out final financial statements and tax returns for digital signing, following up on outstanding documents, and assisting with invoicing.
- Office Coordination: Managing incoming mail, greeting clients, ensuring meeting rooms are pristine, and maintaining a well-stocked, professional office environment.
About You You are a proactive, systems-oriented administrative professional who loves bringing order to a busy environment. You thrive in a collaborative, physical office space and understand the value of face-to-face team collaboration.
To be successful in this role, you will bring:
- Minimum 1–3 years of experience working within an Australian public practice accounting firm in a workflow, administration, or client services capacity.
- Strong proficiency with accounting practice management software (e.g., Xero Practice Manager/XPM, and APS) and corporate secretarial software (e.g., CAS 360).
- Proven experience navigating the ASIC portal and managing ATO correspondence/portals.
- Exceptional verbal and written communication skills, with a welcoming professional presentation suitable for client interaction.
- The ability to spot formatting errors, track multiple deadlines simultaneously, and maintain strict confidentiality.
