About the Role

An opportunity is available for an experienced Practice Administrator to join a professional accounting firm on a full-time contract basis.

This is a hands-on role for someone who enjoys being the person behind the scenes keeping a busy practice organised, ensuring administrative tasks are completed accurately and making sure nothing falls through the cracks.

You'll work closely with accountants and senior team members across a broad range of administrative responsibilities, from client correspondence and ATO lodgements through to invoicing, registrations, document management and database maintenance.

The role offers plenty of variety and autonomy, while also being supported by a wider administration structure including a Receptionist, Office Junior, Executive Assistant/Team Leader and offshore administration support.

Key Responsibilities - Your primary responsibility will be ensuring the smooth and timely completion of the practice's day-to-day administrative requirements, including:
  • Managing electronic and hard-copy client collations.
  • Processing correspondence received via email, mail and ATOmate.
  • Managing correspondence from accountants, clients, the ATO and suppliers.
  • Assisting with manual and non-electronic administrative tasks as required.
  • Preparing and issuing client invoices.
  • Completing ATO lodgements and related administration.
  • Managing client registrations, including ATO and ABR registrations.
  • Completing FuseSign administration and following up documentation.
  • Maintaining and updating the Xero Practice Manager database, including client details and address changes.
  • Monitoring the accounts email for client remittances and supplier bills.
  • Forwarding supplier bills to the Xero Bills inbox.
  • Providing general office and administrative support to the wider team.
  • Providing reception backup and telephone coverage when required, particularly during Receptionist leave or breaks.
  • Escalating client or administrative queries to the appropriate senior team member when required.
  • Assisting with project administration and tasks that support wider business objectives.
  • Supporting the team with ad hoc administrative requirements as they arise.
Previous experience with ASIC and corporate compliance would be highly regarded, although it is not essential.

Systems Used:

You'll have exposure to a range of accounting and professional practice systems, including:
  • Xero Practice Manager, including Xero Tax
  • CAS 360 – ASIC and corporate compliance
  • FYI – electronic document management
  • Microsoft Office 365
  • ATOmate – ATO correspondence
  • FuseSign
  • Class – limited involvement with SMSF accounting software
Experience across these systems would be advantageous, but strong public practice administration experience and the ability to pick up new systems quickly are equally important.

About the Team & Environment

You'll be joining an established accounting practice with a structured support team around you.

While this is a standalone, hands-on role, you won't be expected to do everything yourself. You'll work alongside a Receptionist and part-time Office Junior who will manage many of the lower-level administrative and telephone tasks, as well as a highly experienced onshore Executive Assistant who acts as a Team Leader and additional offshore administration support.

This structure means you'll be able to focus on the more involved practice administration work while still having support around you when required.
The successful person will become an important part of the day-to-day operation of the office and will work closely with accountants and senior staff across the business.

The Person

We're looking for someone who is confident working within an accounting or professional services environment and enjoys taking ownership of their workload.

You'll ideally have previous experience in public practice accounting administration, client services or practice support, with an understanding of the terminology, processes and deadlines involved in an accounting firm.
You'll be highly organised, proactive and comfortable managing multiple priorities at once. You're someone who sees what needs to be done and gets on with it rather than waiting to be asked.

You'll also need to be comfortable communicating with accountants, clients and suppliers and know when to handle something yourself versus when to escalate it to a senior team member.

Experience with ASIC/CAS 360 would be a bonus, but the most important thing is that you're a capable, reliable administrator who understands how a busy accounting practice operates.
